Problem Statement

Meetings are a vital part of the workday, but finding a time that works for everyone can be a challenge. This becomes even harder when coordinating with people from different organisations or for 'not-so-pleasant' meetings. Cross-communication and privacy concerns add complexity to the process.

Problem Formulation Process

To understand how we can efficiently gather everyone's availability and find a suitable time to meet, we spoke with public officers, such as personal assistants and social case workers, who regularly deal with scheduling. Their feedback was clear—too much time was spent on endless back-and-forth communication, which is frustrating, and existing tools didn't make it easy to find the right time for all parties involved.

Our Solution

Inspired by these insights, we created Schedulr: a straightforward tool designed to streamline and ease frustrations from setting up meetings. With Schedulr:

• Meeting organisers can easily set up the meeting details, like duration, format, and available range of timings
• Send out emails to attendees with just one click
• Attendees can select their own availabilities through a link
• Organisers can easily track responses to see who's still pending or be notified when all responses are in
• With all responses in, Schedulr presents the best time options that work for everyone

This simplifies the decision-making process and makes it easier to schedule meetings quickly.

Future Steps

In the future, Schedulr aims to:

• Allow meeting organisers to re-poll for new dates with just a click if no common time slots are found
• Link up to resource booking systems to also book the venue if required
