Introducing MyBizTrip, a business trip assistant which is brought to life to empower staff to request for business trip arrangements easily, while allowing the agency to track and process seamlessly.

How, not Why

Different processes from different departments to achieve the same goal is a prevalent pain. Often we ask, why is it different from the others? Are ours better? Or are we worse off?

But how about a paradigm shift? Instead of why, we ask how!

And in this context, how can we harmonize and streamline these disparate flows into one? Are there possibilities of standardization?

Background

There are a total of five divisions in Attorney-General's Chamber (AGC) that will request for travel arrangements for overseas meeting, training and so on.

These processes across the five divisions are not only disparate but also manpower-intensive, often leading to longer turnaround time and unnecessary delays.

The impact goes beyond just time loss, as there's no easy way to track or monitor travel arrangements - at the agency level or even at a single request level!

Product Goals

MyBizTrip thus aims to:

  • Unify the current disparate processes in terms of travel arrangements
  • Automate steps to reduce man-in-the-loop and time taken for the travel request process
  • Allow AGC to staff to track current progress and stages of the travel requests raised
  • Provide a holistic overview of all travel requests in AGC

What We Did (Thus Far)

We conducted UX discovery workshops to collaborate with users from all divisions, aiming to gain a deeper understanding of their diverse processes and identify their pain points through customer journey mapping.

Through the workshops, we concluded that steps to be taken in a travel request process can be re-grouped into 4 key stages:

  1. Approval
  2. Preparations
  3. Pre-Trip and
  4. Post-Trip​

In the initial phase, the team thus zoomed in to the Approval stage, as it is the most complex, with varying requirements across divisions.

MyBizTrip for The Approval Stage

MyBizTrip has the following core features for the Approval stage:

  • Further streamlining to 4 simple steps with usage of templates to guide user on the submission for different travel request types.
  • Assisted generation of Nomination and Budget papers for users after submission in Approval stage.

Shaping MyBizTrip's Future

  • Advance Product Development: Focus on refining the Approval stage for the first iteration, showcasing it to the prioritized division.
  • PoV Implementation: Run a Proof of Value with the prioritized division before expanding to other divisions.
  • Broaden the Use Case: Explore new opportunities, such as procurement tracking, and expand the product's reach.
  • Engage Other WOG Agencies: Spark interest among other agencies that require travel arrangements.
