Reducing toil for ActiveSG gym staff

Problem

We were initially given a general problem statement to streamline operations in ActiveSG gyms to alleviate manpower shortage issues with the goal of working towards unmanned gyms. Through interviews with gym staff and SportSG business owners, we were able to narrow this down to a more targeted problem statement:

Gym managers/fitness instructors have to complete paper equipment checklists everyday before gym opening hours. Using paper checklists makes it difficult to track follow ups on faulty equipment and requires manual propagation of information up the chain of command. This results in fitness instructors spending less time engaging with gym users and also a lack of visibility for central management.

Solution

We built a web application digitalising the paper checklists that gym staff tick off every morning. This web application extends the functionality of paper checklists by supporting:

  • Different checklists per gym

  • Different checklist schedules

  • User permissions by role and gym

  • A daily task list for users

  • Adding comments and attaching pictures for failed items on a checklist

We further extended the digital checklist by building a servicing request workflow to track the followup taken for each failed item on a checklist:

  • Failed checklist items automatically generate a servicing request

  • An equipment servicing can be scheduled from each servicing request

  • Each servicing request has to be signed off and closed by a gym manager

Outcome

Digitalising the checklist process allows for daily checks to be performed more seamlessly by gym staff and create the possibility for daily checks to be performed by a single central team instead of dedicated staff in each gym. Centralising the data for all gyms also allows for easier auditing and creates opportunities for data analysis and better oversight by SportSG.

Future Steps

The business owners and our team members have identified the following features which would enhance the current web application's utility:

  • Ability for members of the public to submit servicing requests for equipment
  • Ability to raise approval requests to SportSG for certain equipment servicing types
  • Inventory management system to add richer data to checklist items (e.g. equipment type, vendor)
